Lewis Middle School PTSO Minutes from meeting October 1, 2007 The meeting was called to order at 9:00 am by Sharon Detiege. Items of business: 1. Boo Grams – We’ll be selling in the mornings from 6:30 to 7:15 am (during Advisory period). Sharon circulated a sign-up sheet for Oct. 22-31 mornings. Open dates for morning sales are Tues 23rd, Wed 24th, Fri 26th, and Tues 30th. Either Emily or Sharon will sell each morning but each one needs a partner to help with sales. Julie Smith will also sell Grams during lunch on Monday the 29th and Tuesday the 30th. Attached is the current listing of sign-ups. Candy will be available in the PTSO storage room (library conference rm.) as soon as enough is collected to compile in brown grocery bags. Emily will print a sign-out sheet and procedures for bagging candy to be posted in the storage room. Once those are available, anyone can sign-out a brown paper grocery bag (or several bags) of candy to be returned once it is bagged into treat bags. Candy should only be taken for bagging once it has been compiled in a brown paper grocery bag. Candy in the bin may not have been counted and should not be taken for bagging. We discussed procedures for candy turn-in by the students. Teachers will send their room representative to the office each morning with any candy collected. We placed a large gray bin in the office by the copy machine for candy collection. Each Advisory teacher should write his/her name on the bag before sending it to the office in order to receive credit toward the reward of free breakfast. We need additional volunteers to help with Boo Gram sales and the Breakfast reward. Mr. Mikel will send an email to all of the Advisory teachers notifying them of the candy turn-in procedures. Sharon will compile the tally and mark each bag of candy once it has been counted. 2. Reward Breakfast – The hot breakfast reward will be held on Friday Nov. 2 for the Advisory class turning in the most candy. Sharon needs a minimum of 2 helpers in order to offer the breakfast. Menu will include sausage, eggs, pastries and/or muffins, juice and milk. PTSO already has paper products donated by our former president. Emily will send out a message requesting volunteers for the breakfast and Boo Gram sales. Laura offered to help with baking muffins. 3. Request for funds – We discussed a request from Mr. Tredway (band director) for funding for a concert by Synergy Brass. Synergy Brass was a big hit with the students when it played at Lewis Middle School last year. In addition to the concert, the quintet conducts master classes for our band students. The cost of hosting the group has increased from last year. We decided to table the request until our next meeting when the results of the Boo Gram sales will be final and we will have a better idea of the amount of assistance we can provide. 4. Boosting PTSO participation – We discussed ideas for boosting membership participation. Response to our meetings so far has been very small. It could be due to lack of notice for the first meeting and the morning time of the second meeting. Emily will send out another notice to all members requesting additional assistance. Also, the bulk of active members are parents of older students. We’ll make a specific request for parents of younger children to get involved in order to maintain consistency in the next year or two. Without additional response, our ability to fund programs may be curtailed. Respectfully submitted, Emily Vista Corresponding Secretary 897-1766
